The 3-Qs of Procurement: Quickness, Quality, and Quote

Whether you are making a purchase for your home, your business, or a multi-million-dollar construction project, most buying decisions come down to three simple factors:

Quickness, Quality, and Quote.

I call them the 3-Qs of Procurement.

The challenge is that these three factors are constantly fighting each other. Most of the time, you only get to choose one. Occasionally, if you are fortunate, you may get two. But you almost never get all three.

If you want something quick, you will likely pay more and sacrifice some quality.

If you want quality, you will need patience, and you’ll probably pay a premium.

If you want the lowest quote, do not expect it to arrive quickly, and don’t expect top-tier quality.

Understanding this simple concept can help you make better purchasing decisions in both your personal and professional life.

The Patio Example

Let’s say you are looking to install a concrete patio in your backyard.

You collect multiple proposals and decide to award the work strictly based on price.

What are the chances that the lowest bidder has the most experienced crew, the best materials, and immediate availability?

Probably not very good.

The concrete truck may never show up. Instead of professional ready-mix concrete delivered and poured by experts; you could find a group of people mixing bags in your driveway. The water ratio may be inconsistent, weakening the concrete, and impacting the final finish.

Will the patio eventually harden? Of course.

There are two guarantees with concrete: It gets hard, and it cracks.

The difference is how well it performs, how good it looks, and how long it lasts.

If you spend a little more money, you will likely receive better materials, a more experienced crew, and a superior finished product. However, the best contractors are usually booked weeks or months in advance.

Quality takes time and quality costs money.

The crews that produce the best work are not sitting around waiting for the phone to ring.

Purchasing a New Vehicle

Now consider you are purchasing a new vehicle.

Suppose two dealerships have the exact same make, model, color, and options package.

The vehicle itself is identical.

If one dealer charges more than the other, why?

Perhaps they have the vehicle on their lot and available for immediate delivery, while the lower-priced dealer must order it.

If that is the case, you are paying for quickness.

The quality is the same because the product is identical.

If both dealerships have the same vehicle sitting on their lots, then your decision is likely to come down to quote because quality and availability are equal.

Understanding which Q actually matters allows you to make a smarter decision.

Manufacturing: The Daily Procurement Battle

I have spent decades in manufacturing, and the 3-Qs appeared every single day.

Imagine you need a specific corrugated box for your product. The box must meet a particular size, strength, and performance specification.

One supplier can deliver in three days while another supplier can deliver in three weeks.

Both suppliers meet the same quality standards.

The boxes are essentially identical.

The decision comes down to quickness and quote.

Do you need them immediately to keep production running?

If so, you will probably pay more.

If you have sufficient inventory and can wait, you will likely choose the lower price.

The quality is already established, so the remaining decision revolves around speed and cost.

Commercial Construction Works the Same Way

The same principle applies in commercial construction.

Most construction materials must comply with detailed project specifications. Products are reviewed through the submittal process and approved by Architects and Engineers before they can be used.

In many cases, quality has already been defined.

The product either meets specifications, or it does not.

Once multiple suppliers are offering approved products, the discussion shifts to two questions:

  1. Can someone deliver it faster?
  2. Is the schedule important enough to justify paying more?

If schedule is critical, quickness wins.

If schedule is not a concern, quote usually wins.

Again, the 3-Qs are at work.

Why Amazon Is So Successful

One of the reasons Amazon became such a dominant company is because they understood the challenge of the 3-Qs.

Their mission has been to provide products that are:

  • High-quality.
  • Delivered quickly.
  • Competitively priced.

That sounds simple but it isn’t.

Achieving all three requires procurement and logistics systems that are incredibly sophisticated.

Amazon has spent billions building supplier relationships, distribution centers, transportation networks, inventory systems, and technology platforms.

They maintain warehouses across the country so products can arrive quickly.

Their purchasing volume is so massive that suppliers often provide lower pricing in exchange for access to that volume.

Those savings are then passed on to consumers.

What appears simple on the surface is actually one of the most complex procurement and logistics systems ever built.

The Next Time You Make a Purchase

The next time you are making a purchasing decision: whether it is a contractor, a vehicle, a supplier, equipment, or materials; pause for a moment and think about the 3-Qs.

Ask yourself:

What is most important right now?

Do you need it fast?

Do you need the absolute best quality?

Or do you need the lowest price?

Once you identify the Q that matters most, the decision often becomes much clearer.

Because in procurement, just like in life, you do not get everything you want.

You get one.

Sometimes two.

But you will almost never get all three.
